Acala is a mining services company under PT Acala Genesa Sumberdaya that provides specialized business services in the mining industry, supported by highly qualified professionals who uphold professionalism. 
We are currently seeking an individual as the candidate with a strong background in construction management and mining to assist in supporting the implementation and construction of our in-field gold mining client at a remote open-pit mining project located in Indonesia.

The candidate will involve the planned construction of a gold ore processing plant (CIL) with a capacity of 500 tonnes per day (tpd). 

The candidates should have sufficient and relevant experience in gold processing plant construction projects. 
The positions to be filled are as follows: 

Document Controller

Requirements:

  • Bachelor’s degree in Business Administration, Information Management, Engineering, or a related field.
  • Relevant certifications in document control or project management are a plus. 
  • 5+ years of experience in document control, preferably in an industrial or engineering environment, with at least 2-3 years in a leadership role. 
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Adobe Acrobat. 
  • Familiarity with various file formats and digital tools for document creation, editing, and secure storage. 
  • Excellent time management skills and the ability to prioritize tasks effectively. 
  • Strong verbal and written communication skills to effectively interact with project teams, stakeholders, and external partners. 
  • Experience in providing training and support on document management systems and processes. 
  • Ability to analyse document management processes and suggest improvements. 
  • High level of professionalism and integrity, with a commitment to maintaining confidentiality and managing documents in a compliant manner. 
  • Excellent project management skills with a focus on timelines and budgeting. 
  • Strong leadership and team management skills, with the ability to mentor and motivate a team. 
  • Excellent communication skills, both verbal and written, with the ability to work collaboratively with cross-functional teams. 
  • Willing to be placed at Halmahera. 

Responsibilities:

  • Manage the organization and flow of documents for a company, project, or team. This includes numbering, sorting, filing, storing, and retrieving documents. 
  • Ensure that documents secure access to sensitive documents, including exploration contracts, permits, and vendor agreements, ensuring confidentiality and proper authorization.
  • Ability to identify issues related to document management, develop solutions, and troubleshoot problems that arise during document handling and processing.
  • Organize and distribute documents to the right people at the right time. 
  • Ensure that documents meet all required standards and formal requirements. 
  • Produce reports on the progress of documents for senior managers.  
  • Regularly review and audit documents.  
  • Create, store, and manage document workflows. 
  • Manage document version control. 
  • Communicate effectively with team members.  
  • Could help with the planning stages of a project.
